Administration Fee, Deposits and Cancellations
Upon payment of a deposit, a non-refundable administration fee of $99 is charged. This fee reflects the immediate administrative and system-based work undertaken upon enrolment, including (but not limited to) the creation of a secure clinician account within our platform (separate from a standard member account), the allocation of internal resources, and the establishment of relevant pharmacy and supplier access where applicable. These services commence immediately upon receipt of payment and incur non-recoverable costs.
Where a participant elects to pay in full and subsequently withdraws or cancels, a cooling-off period of seven (7) days applies. Cancellations made after this period will result in the forfeiture of the $1,000 deposit, as onboarding, administrative processing, mobile suitcase set up, and system provisioning will have already occurred. No refunds will be provided for services rendered or costs incurred beyond this period, except where required by Australian Consumer Law.
Force Majeure and Exceptional Circumstances
The Company will not be liable for any delay, suspension, or inability to perform its obligations where such delay or failure arises from events beyond its reasonable control (Force Majeure Events). These include, but are not limited to: acts of God, natural disasters, pandemics or public health emergencies, government directives or regulatory changes, supply chain disruptions, system outages, industrial action, or circumstances affecting third-party providers such as pharmacies or technology platforms.
In the event of a Force Majeure Event, the Company reserves the right to suspend, reschedule, or modify services as reasonably required. Fees already paid, including the $99 administration fee and any deposit, will not be refundable where costs have been incurred or services commenced, except where a refund is required by Australian Consumer Law.

Exceptional Circumstances (Discretionary Consideration)
The Company may, at its sole discretion, consider requests for a refund, credit, or deferral in circumstances deemed to be exceptional. Exceptional circumstances may include, but are not limited to, serious illness or medical incapacity, bereavement of an immediate family member, or other significant unforeseen events that materially prevent participation.
Any consideration under this clause is not automatic, does not create an entitlement to a refund, and will be assessed on a case-by-case basis. Supporting documentation may be requested. Where onboarding, administrative work, account setup, or third-party arrangements have already commenced, the $99 administration fee and any incurred costs remain non-refundable, unless otherwise required by Australian Consumer Law.
